How TekStacks works for your company: its name, time zone and logo, which equipment fields show, how long equipment lasts, and the switches for reminders, checklists and clients.

Overview

Settings is one page with tabs down the side. Change anything, then click Save; Unsaved changes shows beside the button until you do, and leaving the page asks first. The logo is the exception: it saves as soon as it uploads.

Requirements

• Role: Admin (Company settings, custom domain and storage, which only the Admin role has).

General

1. Open Administration, then Settings.
2. Edit Company name and Time zone. Every time is shown in this zone, for everyone in the company.
3. Under Logo, upload a PNG, JPEG or WebP image. It saves as soon as it uploads and shows in the menu, on your sign in page, and on labels whose template includes it. A wide logo on a transparent background works best.
4. Click Save for the name and time zone.

To remove the logo, click Remove the logo.

Equipment fields

Each built in field (Make, Model, Serial number, Asset tag, Name or hostname, Status, Condition, Location, Room, Department, Purchase date, Price, Vendor, Warranty contract, Order number, Warranty expiry and Notes) can be Hidden, Optional or Required. Status and Notes can be hidden or shown, never required. Hidden fields leave the form, the equipment page and the list. Type is always required; custom fields set their own (see Custom fields).

Lifecycle

Enter how many years each type of equipment lasts. End of life is the purchase date plus this. Leave a type blank to not track it. Warn this many months ahead sets when equipment appears in Reaching end of life on Home. New accounts start with suggested lifetimes.

Loaners

Turn on Send loan reminders to email the borrower and whoever lent it the day before a loaner is due back, the day after it was due, and every week while it stays out (see Loans).

Found equipment

Choose what someone sees when they scan one of your QR labels, whether they can report it found, and who hears about it. A live preview shows the page as you change it. See Lost and found.

Change management

Turn on Changes need approval so a planned change must be approved before it can be marked done (see Change management).

Renewal reminders

Turn on Send renewal reminders and enter Days before, such as 30, 7, 1 (see Reminders).

Checklists

Turn on Start onboarding for new employees or Start offboarding when an employee leaves, and choose which Checklist and who it is For (see Checklists).

Clients

Turn on We manage equipment for clients to add a Clients page and a switcher (see Turning on clients).

Vault settings

Turning on the Vault, choosing which key encrypts it, and how many config copies to keep are on their own page: open Administration, then Vault settings. See Turning on the Vault.

Troubleshooting

"You have clients. Their equipment would become unreachable, so this stays on." Clients cannot be turned off while you have any. Merge or delete them first.

FAQ

Can I change my account's address? Not from Settings. Add your own address with a custom domain, or ask TekStacks support to change the subdomain.
