Appearance
Every QR label opens a page for whoever scans it. Your staff go straight to the equipment; anyone else can tell you they found it, without seeing anything you have not chosen to show.
Overview
When someone scans a QR label:
- Staff who are signed in and can see the equipment open its page.
- Anyone else sees the found equipment page, branded TekStacks, with a Staff sign in link at the bottom that brings staff back to the equipment after they sign in.
What the page shows depends on your settings:
- Details off (the default): the page asks "Found this laptop?" (or phone, or device), names no company and shows nothing about the equipment.
- Details on: "This laptop belongs to" your company or client name, your logo, the fields you choose, your message and a contact.
- Reward on: a line saying you will pay a reward for its return, with or without details.
If reports are on, the page has an I found this form. The finder leaves Your name, an Email or Phone, Where you found it and Anything else, then clicks Send report. The report goes through TekStacks, so the finder never sees your email addresses.
Requirements
- Role: Company settings, custom domain and storage, which only Admins have.
Step 1: Choose who hears about reports
- In the sidebar, open Administration, Settings, and the Found equipment tab.
- Leave Let anyone who scans a QR label report it found on to show the report form. Turn it off to hide the form.
- In Who hears about it, pick the users who get the report email. Leave it empty and every Admin is emailed.
Step 2: Choose what the page shows
- Turn on Show details on the page to name your company and show your logo.
- Under Fields, tick what to show: Make, Model, Asset tag and Serial number. Make, model and asset tag are ticked to start.
- Edit the Message.
{company}becomes your company or client name, and{device}the type of equipment. - Fill in Contact shown with a shared address or phone, such as your help desk or front desk. Leave it blank to show none.
Note: Serial number is off by default. With the model, a serial number lets someone claim warranty service or register the device to themselves.
Step 3: Mention a reward (optional)
- Turn on Mention a reward for returning it.
- Edit the Reward wording.
{device}becomes the type of equipment. - Click Save. TekStacks asks Publish this reward statement? and shows the wording.
- Tick Our team has reviewed this statement, and we are responsible for any reward it offers. and click Publish and save.
The reward line shows whether or not details are on. The amount is yours to decide and is never shown.
Note: The reward statement is your company's own. TekStacks shows the wording you choose and does not review it or give legal advice. Have your legal team review it first.
Step 4: Check the live preview and save
At the bottom of the tab, Live preview shows exactly what someone who scans a label sees on a phone, for a made up laptop. It follows your changes before you save, and nothing is sent from it. Click Save when it looks right.
What happens when someone reports equipment found
The people you chose get an email titled with your company's name and "someone reports finding" the equipment. It includes:
- What the finder entered.
- A reminder to first check with whoever holds it, or at its location, that it is really missing.
- The reward wording, if your page offers one.
- An Open the equipment button.
The report is also recorded in the activity log. If the equipment's status is named Lost, the email says it is marked lost, and with details on the page tells the finder it has been reported missing.
Note: A report can be a mistake or a phishing attempt, and TekStacks does not check who sent it. Confirm the equipment is really missing first, then contact the finder from a company address.
Notes
Note: With clients turned on, each client can have its own found equipment page. See Client found page.
Note: A phone that has already sent a report for a piece of equipment sees the confirmation again instead of the form.
Note: Disposed equipment's QR code shows a page that is not found.
Troubleshooting
Nobody got the report email. Check Who hears about it. A chosen user who has been turned off no longer gets reports; if none of the chosen users are active, every Admin is emailed instead.
The finder sees "Leave an email address or a phone number so they can reach you." The report needs at least one way to reach the finder.
The page names no company.Show details on the page is off. That is the default, so a stranger learns nothing about the equipment.
FAQ
Can I see what the page looks like without scanning a label? Yes. Use Live preview on the Found equipment tab.
Does the finder see who received the report? No. They see "Report sent" and that their details went to the owner, or to your company's name when details are on.
