Employees are the people you hand equipment to. They do not sign in to TekStacks; users do.

Overview

The Employees page lists everyone you assign equipment to, with their email, location, department, job title, phone and whether they are staff or a contractor. Employees who left are hidden unless you ask for them.

Each employee's page shows:

  • Details: email, desk phone and extension, mobile, job title, location and department.
  • Has now: the equipment they hold, since when, any loan due date, and the accessories that went with it.
  • Had before: what they held and returned, with any accessories that did not come back.
  • Software: the license seats they hold.
  • Checklists: their onboarding, offboarding and other checklists.
  • Documented in and Changes: documentation pages that mention them and change records that touched them, when there are any.

From an employee's page, Add equipment for (their first name) opens the equipment form with them already chosen.

Someone who leaves is marked as left, never deleted. Their history stays, and equipment can no longer be assigned to them.

Both lists are read only: they come from each assignment and return. To see everything one person holds from the equipment list instead, filter it by Assigned to.

Requirements

  • Role: See employees to view (every built in role by default). Add, edit, import and mark employees as left (never delete) to make changes (Admin, Manager and Technician by default).

Add an employee

  1. In the sidebar, open People and access, then Employees.
  2. Click Add employee.
  3. Enter the Name, and any of Email, Location, Department, Job title, Desk phone, Mobile and Extension. Turn on Contractor for someone from outside the company, such as a consultant or temp.
  4. To start their onboarding checklist now, turn on Start onboarding. It is on by default when your company starts onboarding automatically.
  5. Save.

If you can manage lists, you can add a new location or department from its field without leaving the form.

Import employees from a CSV

  1. On Employees, click Import CSV.
  2. Choose a CSV file with a header row. It needs a name column, and can have any of email, location, department, job_title, phone, mobile and extension.
  3. Upload it.

TekStacks reports how many were added and updated, and lists any rows it skipped with the reason.

  • A row whose email matches an employee already here updates that employee.
  • Any other row adds a new employee.
  • A location or department not in your lists is added to them.
  • A row that fails a check is skipped whole, never half imported.
  • Common header names also work, such as title, job title, full name, e-mail, desk phone, cell and ext.

Importing never starts onboarding checklists.

Mark someone as left

  1. On Employees, click the Edit icon on their row.
  2. Turn off Still here.
  3. Save.

When your company starts offboarding automatically, an offboarding checklist starts for them, with a step for each piece of equipment they still have. See Onboarding and offboarding checklists.

To see people who left, open the filters and set Employees who left to Only employees who left.

Notes

Note: An email address can belong to only one employee in a company (or, with clients, in one client).

Note: You can also bring employees in from Microsoft Entra ID, kept in step with an Entra group. See Employees from Entra.

Note: When your company manages clients, each client has its own employees. Pick a client in the switcher to add or import them; while viewing all clients the list adds a Client column.

Troubleshooting

"Someone here already has that email." Another employee has that address. Search for them; you may be adding someone twice.

"The file needs a "name" column in its first row." The first row of the CSV must be column names, one of them name (or full name).

I cannot assign equipment to someone. They are marked as left. Edit them and turn Still here back on if they returned.

FAQ

Can I delete an employee? No. Mark them as left. Their equipment history depends on them.

What is the difference between an employee and a user? A user signs in to TekStacks. An employee is someone equipment is assigned to. One person can be both, and they are kept separately. See Users.
