A warranty contract is one purchase of coverage for several devices, such as a three year next business day contract on a batch of laptops. Its dates and order number fill in every device it covers.

Overview

Add one contract per purchase, then attach the equipment it covers. While equipment is covered, the contract decides its purchase date, order number and warranty end, and changing the contract updates every device it covers.

The list shows each contract's Vendor, Contract number, how many devices it Covers, and when it Ends. The end date is red once expired and yellow within three months.

Equipment under a contract shows a Warranty panel on its page with the coverage, contract number and dates.

Requirements

  • Role: See equipment to view contracts. Edit equipment to add, edit and attach them. By default Admin and Manager can edit.

Steps

Add a contract

  1. Open Assets, then Warranty contracts.
  2. Click Add warranty contract.
  3. Fill in the Name (such as 2026 laptop refresh), Vendor, Order number, Contract number, Coverage, Purchased, Cost, Coverage starts, Coverage ends and Notes.
  4. Save.

Attach equipment

From the Equipment list:

  1. Select the equipment with the checkboxes.
  2. Click Attach to warranty contract.
  3. Choose the contract and save.

Or choose the contract in the Warranty contract field on the equipment form. You can add a new contract from that field too.

See what a contract covers

Click the Covered equipment icon on the contract's row. The Equipment list opens filtered to that contract.

Notes

Note: Disposed equipment is not attached, and keeps the dates it had.

Note: On the equipment form, Purchased, Order number and Warranty expires cannot be typed while a contract is chosen.

Note: The home page shows Warranties ending in 90 days, and contract end dates appear on the renewals calendar.

Note: If you manage clients, each client has its own contracts. Add them while working in that client.
