Walk through computer setups, onboarding, offboarding and any other job your team does step by step, with who ticked each step and when.

Overview

A checklist is a copy of a template's steps for one employee or one piece of equipment. Because the steps are copied, you can add or remove steps on one checklist without changing the template, and editing a template never changes a checklist in progress.

The Checklists page shows open checklists first, soonest due at the top, with how many steps are done ("7 of 12"), the due date (red when overdue) and who it is for. A checklist is Done when every step is ticked, and open again if a step is unticked.

Every company starts with four templates: Computer setup and Equipment retirement (for equipment), and Employee onboarding and Employee offboarding (for employees). See Checklist templates to change them.

Offboarding lists the equipment to collect. A template with List their equipment to collect turned on, such as Employee offboarding, adds a step for each piece of equipment the employee holds when it starts ("Collect" and the equipment's name, with its accessories), and a step to take back each license seat they hold. These go before the last two steps of the template.

Requirements

  • Role: See checklists to view (every built in role by default). Start checklists and tick their steps to work on them (Admin, Manager and Technician by default).

Start a checklist

From an employee's or an equipment page:

  1. Under Checklists, click Start checklist.
  2. Choose the Checklist, and optionally a Due date and who it is For.
  3. Click Start. The new checklist opens.

From the Checklists page:

  1. In the sidebar, open People and access, then Checklists.
  2. Click Start checklist.
  3. Choose the Checklist, then the Employee or Equipment it is for.
  4. Set Due and For if you like, and click Start.

Start onboarding and offboarding automatically (Admin)

  1. Under Administration, open Settings, then the Checklists tab.
  2. Turn on Start onboarding for new employees. A new employee from a directory sync gets an onboarding checklist, and Start onboarding is on by default when someone is added by hand. Importing a spreadsheet never starts one.
  3. Turn on Start offboarding when an employee leaves. When an employee is marked as left, by hand or by a directory sync that sees their account disabled, an offboarding checklist starts with a step for each piece of equipment they have.
  4. For each, choose the Checklist to use and who it is For, or leave the defaults. Without a choice, onboarding uses the first employee checklist and offboarding the first one that collects equipment.
  5. Click Save.

TekStacks never starts a second open checklist from the same template for the same person.

Work through a checklist

  • Tick a step's box when it is done. Your name and the time appear under it. Untick it to undo.
  • Click Add step to add a step to this checklist only.
  • Click the Remove step icon next to an unticked step to remove it from this checklist only.
  • Click Edit to change the name, Due date or who it is For.
  • Click Cancel checklist for one started by mistake or no longer needed. It is kept and can be reopened with Reopen.

A step for a piece of equipment has an open link to it.

Equipment steps that do more

Two kinds of step on an equipment checklist act on the equipment:

  • Records the drive wipe: ticking it asks Wiped or destroyed on and How, then records the wipe on the equipment and on its disposal record later. You can then print a Wiped status tag.
  • Ticks itself when the equipment is disposed: it shows a link to open the equipment to dispose of it, and ticks when you do.

The Equipment retirement template uses both. See Retiring equipment and Status tags.

Notes

Note: When your company manages clients, a template can be limited to one client, and the checklists page shows the client you are working in.

Note: The equipment an employee still has after leaving is also on the Unreturned page. See Unreturned equipment.

Troubleshooting

An employee left but no offboarding checklist started. Check that Start offboarding when an employee leaves is on under Settings, Checklists, and that there is an active employee template. If an offboarding checklist from the same template is already open for them, a second one is not started.

The step boxes are grayed out. You need Start checklists and tick their steps, and the checklist must not be canceled.

FAQ

If I change a template, do open checklists change? No. Only checklists started after the change use the new steps.

Who can a checklist be for? Any active user who can start checklists and tick their steps, or Anyone.
