Hand a piece of equipment to an employee with the accessories that go with it, and check it back in when it returns. Every change of hands is kept in the equipment's history.

Overview

Equipment is always either held by an employee or not held by anyone. Assign gives it to an employee, Reassign moves it from one employee to another, and Check in brings it back to stock. Each of these closes the current holding and opens a new one, with a snapshot of the employee, the location and the equipment as they were at that moment. Renaming an employee later never rewrites who had what.

You find these actions in two places:

  • On the equipment's own page, as buttons beside Edit.
  • On the Equipment list, as icons at the end of each row.

Requirements

  • Role: Assign, lend and check in. Admin, Manager and Technician have it by default.

Step 1: Assign equipment

  1. Open the equipment, or find it on the Equipment list.
  2. Click Assign. If someone already holds it, the button reads Reassign.
  3. In Assign to, start typing the employee's name or email and pick them from the list.
  4. In Going with it, add the accessories handed out with it, such as a charger, dock or mouse. Press Enter after each one. Suggestions come from your accessories list.
  5. Leave Due back empty for a regular assignment. Setting a date turns the assignment into a loan (see Loans).
  6. Add a Note if you like, and save.

TekStacks confirms with "Assigned to" and the employee's name. The equipment's status changes to your assigned status, and the page header shows who holds it, since when, and what went with it.

Step 2: Check equipment back in

  1. Open the equipment and click Check in. The button only appears while someone holds it.
  2. Under Came back with it, untick any accessory that did not come back. Anything left unticked is recorded as missing.
  3. Set the Condition it came back in: New, Good, Fair or Poor.
  4. Pick the Location it is going back to.
  5. Add a Note if you like, and save.

TekStacks confirms with Checked in. When accessories are missing, the message lists them, and the history entry shows "Not returned:" with each one.

Notes

Note: Equipment can only be assigned to a current employee. Someone marked as left does not appear in Assign to.

Note: With clients turned on, equipment can only be assigned to an employee of the same client.

Note: Checking in equipment held by someone being offboarded ticks the matching collect step on their offboarding checklist. See Checklists.

Note: Disposed equipment cannot be assigned or checked in. See Retiring equipment.

Troubleshooting

The employee I want is not in the Assign to list. They are marked as left, or they belong to another client. Check their record under Employees.

There is no Check in button. Nobody holds the equipment. Check in only applies to assigned equipment. To change the status of equipment nobody holds, such as sending it for repair, edit it and change its Status.

I do not see Assign at all. Your role does not include Assign, lend and check in. Ask an Admin.

FAQ

Where do I see everything an employee holds? On the employee's page, under Has now. Had before lists what they held in the past, with the dates and any accessories that went missing.

Can I assign equipment to a user rather than an employee? No. Equipment goes to employees. Users are the people who sign in to TekStacks.

What happens to the accessories list on reassign? Reassigning closes the old holding and starts a new one, so enter the accessories that go with it to the new person.
