Appearance
Bring your staff into TekStacks as employees from one Microsoft Entra group, and keep them current. New employees appear on their own, and departed employees are marked as "Left" so their equipment can be collected.
Overview
Employees are the people equipment is assigned to. They do not sign in to TekStacks (people who sign in are users; see Provisioning users with SCIM).
You choose one Entra group, such as All Staff. TekStacks then:
- adds every member as an employee, with name, email, job title, department and phone numbers;
- links people you already entered by hand (matched by email) rather than adding them twice;
- keeps those details current as they change in Entra;
- marks someone removed from the group, or disabled, as left, ready for offboarding. Nobody is deleted, so their equipment history stays;
- treats someone new in the group as a new hire, ready for onboarding.
The first sync after you choose a group only adds people; nobody is marked as left. After that TekStacks checks the group every 15 minutes. It only reads your directory and never changes it.
Requirements
- Your directory connected under Settings, Microsoft sign in (see Sign in with Microsoft, Step 1).
- Entra ID Free is enough.
Step 1: Choose the group in Entra
Use a group that holds exactly the people equipment goes to. Members of groups nested inside it count too. Guest, service and shared accounts stay out unless you put them in the group.
Step 2: Turn on the sync
- In TekStacks, open Settings, then Microsoft sign in.
- Under Employees from Entra, click Choose a group.
- Start typing the group's name, pick it, and save.
- Click Sync now.
TekStacks shows Synced with the number added and updated, and the people appear under Employees.
Note: If TekStacks says a permission is missing, click Approve again at the top of the page and approve as a Global Administrator, then click Sync now again.
Step 3: Test
- In Entra, change one member's job title, and remove another member from the group.
- In TekStacks, click Sync now.
- The title is updated, and the removed person is marked as left.
Stopping the sync
Click Stop syncing. Every employee stays as they are, and TekStacks stops reading the group.
Troubleshooting
"The group has no members, so nothing was changed." An empty group would mark everyone as left, so TekStacks refuses to apply it. Check you chose the right group and that it holds people, not only devices.
A permission is missing, or searching for the group finds nothing. Click Check the connection at the top of Microsoft sign in, search for the group there, and follow what it says. Usually it means clicking Approve again and approving as a Global Administrator.
Someone is listed twice. Their hand entered email differs from their Entra email. Fix the email on the hand entered employee to match, or remove the duplicate.
FAQ
Does the sync create TekStacks sign ins? No. It only creates employees. Use Sign in with Microsoft and SCIM provisioning for people who sign in.
What happens to equipment when someone leaves? It stays assigned to them, and they can be offboarded from their employee page to collect it.
Can I use more than one group? One group per company. Put the groups you want inside one parent group; nested members count.
