Subscribe to your renewals in Outlook, Google Calendar or Apple Calendar with a private link that keeps itself up to date.

Overview

The calendar feed holds the same entries as the Renewals page: warranties, end of life, loaners due back, licenses and services. Each is an all day event with a link back to its record in TekStacks.

The link is yours alone. It shows what you can see in TekStacks, and when your company manages clients, it covers every client. It reaches from 30 days ago to about a year ahead.

The link carries no password. Anyone who has it can read your renewals, so treat it like one.

Requirements

  • Role: See equipment (every built in role by default).
  1. In the sidebar, open Software and renewals, then Renewals.
  2. Scroll to In your calendar app and click Get my calendar link.
  3. Click Copy.

Copy it now; it is not shown again. If you lose it, make a new one (Step 3).

Step 2: Subscribe in your calendar app

Add the link as a calendar subscription (sometimes called "subscribe from web" or "from URL") in your calendar app. Do not import it as a file: an imported file is a one time copy and never updates.

Your calendar app decides how often it fetches the feed. TekStacks asks for every six hours, but some apps check less often.

Make a new link when you lose the old one or think someone else has it.

  1. On Renewals, under In your calendar app, click Make a new link.
  2. Confirm with Make a new link. The link you have now stops working.
  3. Copy the new link and update the subscription in your calendar app.

Notes

Note: The feed stops working when your account is deactivated.

Troubleshooting

My calendar app shows nothing, or an error. Check that you subscribed by link rather than importing a file, and that you copied the whole link, ending in .ics. If you made a new link since, the old one no longer works.

A renewal I changed still shows the old date. Your calendar app has not fetched the feed again yet. Wait, or refresh the subscription in the app.

FAQ

Can my whole team share one link? Each user has their own, matching what they can see. Have each person get their own.
