Invite the people who should sign in to TekStacks, and give each one a role.

Overview

People who sign in are users. An Admin invites a user by email; the invitation link lets them choose a password and join. Each user has one role, which decides what they can do:

• Admin: everything, including users, settings and billing.
• Manager: equipment, people and the lists under Configure, plus documentation, network, software and the rest.
• Technician: add, assign and check in equipment, and work in the other stacks.
• Viewer: read only.

Roles can be changed, and Admins can add their own. See Roles for exactly what each role can do.

People who hold equipment but never sign in are employees, not users. Add them under Employees instead (see Employees).

Requirements

• Role: Admin (Manage users and roles, which only the Admin role has).

Step 1: Send the invitation

1. In the sidebar, open Administration, then Users.
2. Click Invite user.
3. Enter their Name and Email, and choose a Role (Technician is preselected).
4. Click Submit. You see Invitation sent to their address.

The user shows as Invited in the list until they accept.

Step 2: They accept

1. They open the email titled (your name) invited you to (company) and click Accept invitation.
2. On Join (company), they check Your name, choose a Password, confirm it, and click Join.

They are signed in straight away. Accepting the invitation also confirms their email address.

Note: The invitation link expires in 7 days. To send a fresh one, click Resend invitation on the user's row.

Note: If your company made Microsoft the only way in, invited people do not choose a password. The invitation tells them to sign in with their Microsoft work account, and the link takes them to Microsoft.

Troubleshooting

"Someone with that email is already a user here." That address already has a user in your company, perhaps deactivated. Find them in the list and turn them back on.

"Your plan includes ... users, and you have reached it." Choose a larger plan on Billing, or deactivate someone who no longer needs access. Deactivated users do not count.

"The free trial includes ... team members." MSP trials have a smaller user limit. Choose your plan on Billing to bring in the rest of your team; you are not charged until the trial ends.

"This invitation link is not valid or has expired." Click Resend invitation on their row and have them use the newest email.

The user's email shows "Email bounced: no mail is sent to this address." Fix the address with Edit name and email, or ask TekStacks support to clear it.

FAQ

Can people sign in with Microsoft instead of a password? Yes, once your company connects its Microsoft directory. See Sign in with Microsoft. Entra can also create users for you with SCIM provisioning.

How do I remove someone? Deactivate them on the Users page. They are signed out everywhere and their history is kept. See Users.
