Take replaced or broken equipment out of service step by step, record the drive wipe, and dispose of it with a record of how it went and who took it.
Overview
Retiring equipment has two parts:
- The Equipment retirement checklist walks through copying off data, removing the device from management, freeing license seats, wiping the drive and disposing of it. Its wipe step records when, how and who on the equipment.
- Dispose is the final step. It closes the equipment's custody, unlinks the employee and location, and records the method, who took it, a reference and the drive wipe. Disposed equipment can never be made active again, and its history is kept.
You can dispose of equipment without the checklist, and you can use the checklist without disposing at once.
Requirements
- Role: Start checklists and tick their steps to use the checklist (Admin, Manager and Technician by default). Dispose of equipment to dispose (Admin and Manager by default).
Step 1: Start the retirement checklist
- Open the equipment. Under Checklists, click Start checklist.
- In Checklist, pick Equipment retirement.
- Set a Due date and who it is For, if you like.
- Click Start. The new checklist opens.
Its steps start as:
- Confirm the replacement is in service and the person has what they need
- Copy off anything that must be kept
- Remove it from device management, the RMM and the directory
- Free its license seats and remove it from backup and monitoring
- Wipe the drive
- Take off the asset label, or mark it to be reused
- Sell, donate, recycle or scrap it
You can edit the template under Configure, Checklist templates. See Checklist templates.
Step 2: Record the drive wipe
- On the checklist, tick Wipe the drive.
- TekStacks asks you to Record the drive wipe. Set Wiped or destroyed on and How, such as NIST 800-88 purge or drive removed and shredded.
- Click Record and tick.
The wipe goes on the equipment, and its page shows "Drive wiped or destroyed on" with the date, method and your name, and "Ready for disposal". The confirmation offers Print the Wiped tag. See Status tags.
Note: Unticking the wipe step takes the recorded wipe back off equipment that has not been disposed.
Step 3: Dispose of the equipment
- Open the equipment and click Dispose.
- Pick the Method: Decommissioned, Surplus, Recycled, Scrapped, Sold or Donated.
- In Taken by, pick the recycler or buyer from your vendors, if you like.
- Enter a Reference, such as a certificate of destruction or sale receipt.
- Drive wiped or destroyed on and How start with the wipe recorded on the checklist. Fill them in here if you did not use the checklist.
- Add a Note if you like.
- Tick I understand this cannot be undone and confirm.
TekStacks confirms with Disposed. The equipment page shows the method and date, who took it, the reference, and the drive wipe. The retirement checklist's last step ticks itself.
Notes
Note: Disposal is final. Disposed equipment cannot be assigned, checked in or made active again.
Note: Disposed equipment leaves every active count, including your plan's equipment limit, and its QR label stops working.
