Templates hold the steps your checklists start from: computer setup, equipment retirement, onboarding, offboarding and any you add.

Overview

Every company starts with four templates, each ready to rename, edit, copy or archive:

TemplateForWhat it covers
Computer setupEquipmentGetting a new or reimaged computer ready to hand out.
Equipment retirementEquipmentTaking replaced or broken equipment out of service: data, management, licenses, the drive wipe and disposal.
Employee onboardingAn employeeEverything a new employee needs on their first day.
Employee offboardingAn employeeClosing off access and getting equipment back when someone leaves. Lists their equipment to collect.

A checklist copies its template's steps when it starts, so editing a template never changes a checklist already started.

Requirements

  • Role: Edit checklist templates (Admin and Manager by default).

Add a template

  1. In the sidebar, open Configure, then Checklist templates.
  2. Click Add template.
  3. Enter a Name and choose who it is For: An employee or Equipment.
  4. Add a Description if it helps.
  5. For an employee template, turn on List their equipment to collect to add a step for each piece of equipment the employee has when it starts.
  6. Under the steps, fill in the first Step and its How, or where. Click Add step for each further step. Drag steps to reorder them.
  7. Save.

Make an equipment step do something

On an equipment template, each step has a When ticked choice:

  • Nothing else (the default).
  • Records the drive wipe (asks how): ticking the step asks when and how the drive was wiped and records it on the equipment.
  • Ticks itself when the equipment is disposed.

See Retiring equipment.

Edit, copy, reorder and archive

  • Click the Edit icon on a template's row to change it. Checklists already started keep the steps they started with.
  • Click Make a copy to start a new template from an existing one. The copy is named with "(copy)" at the end.
  • Drag rows to change the order templates are offered in. The first employee template is the default for automatic onboarding, and the first one that lists equipment is the default for offboarding.
  • Click Archive to stop offering a template. Checklists started from it are kept. Restore brings it back.

Notes

Note: When your company manages clients, Only for client limits a template to one client. Leave it on Every client to offer it everywhere.

Note: To choose which template starts automatically when someone joins or leaves, see Onboarding and offboarding checklists.
