The Equipment list holds every laptop, desktop, phone, server and anything else you look after, with who has it and where it is. Each piece of equipment has its own page with its details and history.

Overview

Open Assets, then View all in the sidebar to see the list. It shows each item's Tag, Type, Make, Model, Serial, Status, Assigned to, Department and Location. Warranty and your custom fields are columns you can turn on from the column menu.

Disposed equipment is hidden unless you ask for it, so the list shows only what you still have.

Filters

Filter the list by:

  • Type, Make, Status, Location and Department
  • Assigned to: a person who holds equipment now, or Nobody for what is not assigned
  • Warranty contract
  • Rack role, such as Top of rack or Core
  • Loaners and Overdue loaners
  • Label not printed
  • Disposed equipment: Hide disposed (the default) or Only disposed

The filters are kept in the page address, so you can bookmark or share a filtered list.

The equipment page

Click a row to open its page. It shows:

  • The make, model and tag at the top, with its status and who has had it since when. A loan shows when it is due back, and accessories that went with it are listed.
  • Details: every field you filled in, the type's own details (such as CPU and RAM for a laptop, or the management URL for a server), and your custom fields. A management URL opens in a new tab.
  • Device library: the library entry the equipment is tied to, marked Verified or Community, with its faceplate when one exists. See Device library.
  • End of life: worked out from the purchase date and the lifetime you set for the type, unless you set a date on the item.
  • Warranty and Vendor panels when the equipment has a warranty contract or a vendor, with the vendor's support phone, email and website.
  • History: who held it, status and location changes, and when. See History.
  • Secrets: the passwords, keys and certificates kept on it, when the Vault is on. See Secrets.
  • Config backups: copies of its config, on switches, routers, firewalls, wireless access points, console servers and network devices when the Vault is on. See Config backups.
  • Its network ports and addresses, the license seats it holds, and its checklists.

The buttons at the top depend on your role and the equipment's state: Assign, Lend or Reassign, Check in, Add task, Edit, Print label, Print status tag and Dispose.

Actions from the list

Each row has icon buttons to assign, check in, dispose and edit. Select rows with the checkboxes to:

When some labels have never been printed, Print unprinted labels at the top of the list prints them all in one file.

Requirements

  • Role: See equipment to open the list and equipment pages. Every built in role has it by default.

Notes

Note: Your company chooses which built in fields are shown. A field set to Hidden under Settings, Equipment fields leaves the form, the equipment page and the list. See Adding equipment.

Note: If you manage clients, the list shows the client you are working in. In the all clients view a Client column appears, and you pick a client in the switcher before adding equipment. See Client switcher.
