Appearance
Print an asset label with a QR code for any equipment that has an asset tag. Scanning the QR code opens the equipment for your staff, and lets anyone else report it found.
Overview
Every plan prints the Standard label: 2.25 x 1.25 inches, with a QR code, the asset tag, and "Property of" your company's name. For a client's equipment it names the client, with "Managed by" and your company's name. With label templates, you design your own sizes and layouts and can print Code 128 barcodes.
Each label comes as one of two files:
- PDF, for any printer: print at actual size.
- ZPL, for Zebra printers: send the file to the printer.
The QR code holds a permanent link to the equipment that never changes, even if your company later moves to its own domain. What a scan does:
- Someone signed in who can see the equipment goes straight to its page.
- Anyone else sees the found equipment page. See Lost and found.
TekStacks remembers which labels have been printed, so you can print the new ones in one batch.
Requirements
- Role: Add equipment or Assign, lend and check in. Admin, Manager and Technician have them by default.
- The equipment needs an Asset tag. Equipment without one has no label. See Tag series to number tags automatically.
Step 1: Print one label
- Open the equipment and click Print label.
- If your company has label templates, pick the Template.
- Under File, choose PDF or ZPL.
- Click Print. The file downloads, and the label is marked printed.
For a PDF, print it at actual size, not scaled to fit the page.
Step 2: Print labels in a batch
To print every label not printed yet:
- Open the Equipment list.
- Click Print unprinted labels. The button shows how many are waiting.
- Choose the template and file, and click Print.
To print labels for equipment you pick:
- On the Equipment list, tick the equipment.
- Choose Print labels from the bulk actions.
- Choose the template and file, and click Print.
Labels in a batch come in one file, sorted by asset tag.
Reprinting a damaged or lost label
- Open the equipment.
- Under Details, beside Label, click Print again later.
The label goes back with the unprinted ones, so the next Print unprinted labels batch includes it. You can also click Print label to print it at once.
Finding unprinted labels
- The Equipment list filter Label not printed shows tagged equipment whose label has never been printed.
- The Details panel on each equipment page shows Label: "Printed" with the date, or "Not printed yet".
- The Assets card on the dashboard counts Labels not printed.
Notes
Note: Disposed equipment's QR code stops working: a scan shows a page that is not found, for everyone.
Note: Printing a label marks it printed whether or not the paper came out of the printer. If a print fails, use Print again later.
Troubleshooting
There is no Print label button. The equipment has no asset tag, or your role cannot add or assign equipment.
The label prints too small or cut off. Print the PDF at actual size (100%), with scaling turned off in the print dialog.
A Zebra printer prints garbage from the ZPL file. Check that the printer resolution in the label template matches your printer. The Standard label is set for 300 dpi.
