Appearance
One calendar of everything with a date coming up: warranties, end of life, loaners due back, and licenses and services that expire or renew.
Overview
The Renewals page reads each date from its record every time it opens, so it is always current. It shows six kinds of entry, each with its own colored dot:
| Kind | Comes from |
|---|---|
| Warranties | A warranty contract ending, or a single piece of equipment's warranty ending when it has no contract |
| End of life | Active equipment reaching its end of life: its purchase date plus the years set for its type under Settings, Lifecycle |
| Loaners due back | Equipment lent to an employee with a due date. See Loans |
| Licenses | Active licenses with an expiry date that are not perpetual. See Software and licenses |
| Services | Active domains, certificates, hosting, subscriptions and contracts with an expiry date. See Services |
| Tokens and certificates | Vault secrets with an Expires date, by label only. Clicking one opens the Vault page. See Secrets |
You see only the kinds you have access to. Licenses need See software, licenses and seats, services need See domains, certificates, hosting and subscriptions, and tokens and certificates need See secrets and config backups.
Requirements
- Role: See equipment (every built in role by default). Record renewal needs the right to change the license or service: Add and edit them, give out seats and reveal keys for licenses, Add, edit, renew and delete them for services.
Use the calendar
- In the sidebar, open Software and renewals, then Renewals.
- Choose Month to see a calendar, or Next 90 days to see a list by day.
- Click a kind (such as Licenses) to show only that kind. Click more than one to combine them, and click again to turn one off. With none chosen, every kind shows.
- In the month view, move with the arrows and return with Today. A day with more than three entries shows "2 more"; click it to switch to the list.
- Click any entry to open its record.
The Next 30 days panel
Beside the month, Next 30 days lists what needs handling soon, soonest first, and anything overdue in red. A loaner, license, service, token or certificate whose date passed in the last 30 days stays on the list until it is handled. A warranty or end of life that already passed drops off.
The Next 90 days list follows the same rule.
Record a renewal
Licenses and services in the Next 30 days panel and the Next 90 days list have a Record renewal button.
- Click Record renewal.
- Now expires is filled in one term after the current date when the record has a monthly or yearly term. The date must be after today.
- Click Save renewal.
The entry moves to its new date, and the old date stays in the activity log.
Notes
Note: When your company manages clients, the calendar shows the client you are working in. Choose All clients in the switcher to see every client at once.
Note: To see these dates in Outlook, Google Calendar or Apple Calendar, use the calendar feed. To be emailed before something expires, see Reminders.
Note: Tokens and certificates from the Vault never go into the calendar feed or reminder emails, not even their labels. They show only on this page.
Troubleshooting
Equipment I bought years ago is not on the calendar under End of life. End of life needs a purchase date on the equipment and a number of years for its type under Settings, Lifecycle. A type left blank is not tracked. An Admin sets these; see Company settings.
There is no Record renewal button. It shows only for licenses and services you can change, and only in the Next 30 days panel and the Next 90 days list, not inside the month grid.
FAQ
Is the calendar a separate list I have to keep up to date? No. Every entry is read from its record. Change the record and the calendar follows.
